POSITION SUMMARY

The Accreditation Conference Logistics Coordinator is a member of the staff of the Accreditation Commission for Education in Nursing (ACEN) and reports to the Chief of Operations, through the Meetings and Events Specialist and Marketing Communications Specialist. The Accreditation Conference Logistics Coordinator performs a broad range of responsibilities related to the successful execution of the annual accreditation conference, including but not limited to working with the annual accreditation conference planning committee and subcommittees, event registrations, vendors and sponsors procurement, attendee communications, and data collection/entry; assist with marketing and promotions, web and social media platforms, and email/messaging campaigns.

RESPONSIBILITIES

  • Schedule meetings and provide administrative support for the annual accreditation conference steering committee and subcommittee
  • Document and maintain the annual accreditation conference steering committee and subcommittee meeting minutes
  • Manage the abstract submission and selection process using the abstract management functions in CVENT Event Management Software (CVENT EMS), from the call for abstracts to abstract selections
  • Oversee the annual accreditation conference related communications with speakers/presenters, guests, sponsors, vendors, volunteers, attendees, and other participants
  • Manage the annual accreditation conference registration process for attendees, vendors, sponsors, speakers, presenters, guests, committee members, and Commissioners through the CVENT EMS
  • Prepare weekly report updates, trends, and patterns on the annual accreditation conference attendee and vendor registrations
  • Assist in the planning and development of the annual accreditation conference website, sponsor and exhibitor prospectus, and mobile app using the CVENT EMS
  • Manage content updates for the annual accreditation conference website and mobile app
  • Assist in the implementation of the annual accreditation conference marketing campaigns, including mailers, email blasts, and social media promotions
  • Coordinate the printing and shipping of ACEN assets for the annual accreditation conference including giveaways, prizes, postcards, signage, exhibits, and other collateral
  • Serve as the pre-annual accreditation conference liaison between event decorators and vendors, exhibitors, and sponsors; provide regular vendor updates and perform updates to website reflecting additions and revisions to the exhibit hall floorplan
  • Aid in logistic and resource planning for the annual accreditation conference, including, but not limited to, setup of meeting rooms and audio/visual requirements, staff and volunteer assignments, food selection, incentive programs and activities, transitions, and flow
  • Coordinate the orientation and onboarding of speakers, presenters, guests, VIP, Commissioners, and volunteers to the annual accreditation conference programs and activities related to their roles and responsibilities
  • Attend onsite pre-meetings with venue key personnel and staff
  • Function as onsite liaison to vendors, sponsors, and exhibitors; speakers, presenters, VIPs, and other annual accreditation conference participants
  • Oversee the post-annual accreditation conference evaluation process; collect, analyze, and report data for ongoing improvement
  • Assist in processes for awarding of continuing education to the annual accreditation conference attendees
  • Respond to email and phone inquiries related to the annual accreditation conference
  • Other duties and responsibilities as assigned

QUALIFICATIONS

  • Baccalaureate degree in Marketing, Communications, Public Relations, or related degree OR formalized training, certification and/or experience in event planning and logistics.
  • 2+ years of experience in a related area of work
  • Proficiency in all programs within the Microsoft Office Suite
  • Familiarity with analytical and database tools
  • Experience with basic HTML, content management systems, and email campaign applications
  • Excellent interpersonal and communication skills
  • Exceptional customer service skills
  • Excellent time management and organizational skills
